The Personal Assistant (PA) plays a critical support role in ensuring the smooth day-to-day tactical operations of the CEO and the Management Team (MT). This position involves managing the CEO's schedule, handling travel arrangements, and assisting with various administrative tasks for the wider MT. The Personal Assistant (PA) is responsible for keeping things organized and helping the executive team focus on their priorities. PA reports to the Chief of Staff who oversees the strategic operations of the management team and acts as the right-hand of the CEO in all matters.
The Personal Assistant (PA) has exceptional organizational and problem-solving skills, a natural ability to multitask and a positive, can-do attitude.
What you'll do
Main responsibilities:
Administrative Support: Provide high-level administrative support to the CEO and management, including managing their calendar, scheduling meetings, and handling correspondence when needed.
Travel Coordination: Arrange simple to complex travel itineraries, including flights, accommodations, and transportation, while considering time zones and potential last-minute changes.
Meeting Support: Support the preparation and logistics for internal events like MT cadences, Bi-annual leadership gatherings and other internal events that are related to the executive team.
Management Team Support: Support the Management Team members with high-level administrative support and travel coordination. This only applies to helping the individual leader, not supporting them in departmental-specific activities.
Who you are
- Successful experience providing support to a fast-paced founder / executive, with at least 5+ years of relevant active experience, preferably in the technology industry;
- Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously;
- Flexibility to adapt to changing priorities and work outside standard business hours when necessary;
- Excellent written and verbal communication skills, as well as the ability to interact with stakeholders at all levels;
- Experienced in using the Google Suite for scheduling, communication, and document / data management;
- A strong desire to work with standard operating procedures to ensure the highest level of alignment and autonomy;
- Strong problem-solving and critical thinking skills to handle unforeseen challenges effectively;
- A proactive mindset to anticipate the CEO's and the MT’s needs and provide support before it's requested;
- A professional demeanor, appearance, and attitude to represent Backbase positively;
- A strong commitment to manage matters with sound judgment, confidentiality and discretion.
